PLEASE READ THIS INFORMATION CAREFULLY
IT WILL ANSWER MANY OF YOUR QUESTIONS

Dear Camp Wightman Camper and Family,

Your registration for 2008 has been received.  Along with this letter you are receiving the following:

Please review your registration acknowledgment carefully to be sure you have been registered for the proper camp and the proper week.  Be sure that the amount of money you sent has been accurately credited.  If you have been placed on a waiting list because the camp you have selected is full, we strongly encourage you to select another camp from the schedule.

A Word about Medical Forms and Matters: 

  • The State of CT requires every camper to have physical form signed by an authorized health professional indicating that a physical was performed within three years of the last day of the camp program.  Campers will not be able to stay at camp without an appropriately signed physical form.

  • PLEASE DO SEND A COPY OF YOUR MEDICAL FORM TO US, preferably at least 4 weeks before your camp program begins.  We will file the form and have it ready for registration day.  We suggest that you also bring the original form with you on registration day.

  • Medical forms must be current (i.e. Physical exam within three years of the closing date of the week your camper attends).  Whenever possible, we prefer that the forms be even more current.  If you are using a 2 or 3 year-old form, please take the time to update the medical history portion of the form.

  • Medical forms for school, sports programs, etc. can be used as long as the physical was performed within the required time period and the form is signed by the appropriate health professional.  It will be necessary to fill out the first page of our health form, however.

  • Medications must be in containers marked with the camper’s name, prescription number, doctor’s name, instructions for dosage, etc.  Shots for bee stings, allergies, etc. must be handled in the same manner.

  • Over-the-counter medications must also be turned in.  They must be in the original container and must be labeled with the camper’s name.  All medications will be dispensed under supervision of trained camp personnel.  On checkout day please be sure to pick up your medical form and medications.

  • Please note:  our requirement for a signed medical form and our procedures regarding medications are mandated by the State of Connecticut and are followed for the sake of your camper’s health and safety.

Check-In Days at Camp Wightman:

  • Check-in for most programs (see below for exceptions) begins at 2:00 pm and continues to 3:30 pm on the day your camp is scheduled to begin.  Please try not to arrive early, as there are many tasks that our staff must do in the time immediately before check-in.

  • We would ask that campers for our Adults with Special Challenges camps arrive promptly at 1:30 pm.

  • We would ask that participants in our Grandparent with Grandchildren camp come at 3:00 pm.  Most of the rest of the programs will have checked in by that time, allowing us to expedite check-in for that program.

Check-Out Days

  • Checkout for all programs is at 10:00 am on the day your camp is scheduled to close.  Please note the exact starting and closing days of your camp in our brochure.  On checkout day campers will be released to their parent(s)/guardian or a person previously designated (in writing) by the parent(s)/guardian.  Those picking up campers will be required to sign a camper release form.  Please note that campers are busy fulfilling cleanup responsibilities until 10:00 am.

Check-In Day, Store and Money

  • We ask that you try to pay your balance due at least two weeks prior to the beginning of your camping week.  This will greatly increase the speed of the check-in day process.

  • If you wish, you may also include your store deposit with the balance due payment.  Those who do this will find the check-in process moving much more quickly.

  • The registration fee includes the cost of a camp photo (except for Grandparents with Grandchildren, Wild Women in the Woods – for those programs the camper photo fee is $5.00).  Campers enjoy autographing each other’s photos and it is a great way to remember the summer experience.

  • The suggested store deposit is $15.00-$20.00 ($10.00 for a ½ week camp).  The camp store does not operate on a cash basis during the week.  Campers may be limited to one or two items of food or beverage each day at their store time.

  • A free-will offering will be received during the week and campers will be asked if they would like to designate a portion of their store deposit toward the offering.  Any portion of this store deposit that remains unspent or undonated will be returned at checkout time.

  • The Wagon Wheel (camp store) is open during Check-In/Out times for parents to purchase t-shirts, sweatshirts and other more expensive items at that time if they wish.

Campership Financial Assistance

  • On your registration form was a place to request a financial aid application.  If you requested such information or application, you are receiving one with this letter.  Please return this application as soon as possible.  The deadline is May 16, 2008.

  • Many churches do offer financial assistance for their members and friends.  We encourage you to check with your church office to see if such funds are available and how and whether you qualify.  Please make it your responsibility to be sure your church knows when and which camp your camper is attending.  We will do our best to keep in touch with the churches concerning their assistance, but they must know that you are coming in order to assure us of whatever campership aid they are providing for your camper.

  • Note:  Camp Wightman campership funds and church funds are not the same.  The application enclosed with this letter is for Camp Wightman funds only.  Funds from churches may require a separate application.

Communication with Your Camper While at Camp:

  • As with many other camps, cell phones are not allowed at Camp Wightman.  Please do not allow your camper to bring a cell phone to camp.  The camp experience is intended as a time of building community within camp.  Cell phones can be a disruption to this process.  Camp is also intended as a time when campers spend time away from the technologies of day to day life and instead get involved with new friends, outdoor activities, etc.  Cell phones that are found will be held in the office until the end of camp.

  • You are encouraged to send mail to your camper.  Please include your camper’s specific program (i.e. Junior 1, Pioneer) on the envelope.  It should be addressed to:

  • E-mail can be sent to your camper to campermail@snet.net. Please include your camper’s name and program in the subject line.  Only camper e-mail addressed to the above address will be delivered.

  • Please note that because of limited resources, campers are not able to send e-mail or use the telephone.

Questions:  Prior to the first week in June, all questions concerning your registration will be handled by our Hartford office (888-236-5421).  After that time, all registrations will be handled through the camp office (860-376-2179).

We are honored that you have selected Camp Wightman as your summer camp.  If this is your camper’s first time in our program, we would encourage you to pay us a visit.  Please call the camp office to arrange for a tour of our facilities.  We look forward to meeting and welcoming you.
